What this automation does

- Verify for changes. To reschedule or cancel, the assistant matches the customer's phone number to the booking and asks a simple confirmation question if needed.
- Answer common questions. Prices, preparation instructions, parking and opening hours come from approved content you control.
- Send reminders. Before each appointment, the workflow sends a reminder using an approved message template, with options to confirm or reschedule.
- Hand off to a person. Sensitive topics, complaints and unclear requests go to staff in a shared inbox, with the history attached. So does a simple "I want to talk to someone".
- Log and report. Every booking, change and hand-off is logged, so you can see which requests the assistant handles well and where it struggles.
WhatsApp Business Platform rules you need to know
WhatsApp is not an open channel. Meta sets rules for how businesses may message customers, and those rules shape the design. In general terms:
- Opt-in. Businesses need the customer's permission before sending them messages on WhatsApp. Record how and when each customer opted in.
- Templates for outbound messages. Messages you start, such as reminders, generally have to use pre-approved message templates. Free-form replies are generally limited to a window after the customer last messaged you.
- Policies on content and use. Meta has commerce and messaging policies, and some industries face extra restrictions.
- Pricing. Meta charges for certain types of conversations or messages, and the model has changed over time.

What you need to get started

Risks and how we handle them
Wrong AI answers
The model only proposes slots returned by your booking system, and every booking is confirmed by the customer. Requests below a confidence threshold get a clarifying question or a hand-off. Clinics should never let the assistant give medical advice. We block those topics and route them to staff.
Privacy
We send the model only what it needs to understand the request, not full patient or client records. Where health data is involved, a private model can keep processing in your environment. Check your obligations under the privacy and health-data rules that apply in your country.
Failures
If the booking system is unreachable, the assistant says so and passes the chat to staff. Monitoring alerts your team when messages fail or the webhook stops responding. Everything is logged with retries for temporary errors.
