A chatbot trained on your website can tell a customer your return policy. It can’t tell them where their own order is, because that answer isn’t on your website. It’s in your systems. Connecting a chatbot to live data is what turns it from a talking FAQ into a real helper. This guide explains how, without the jargon.
Knowledge or live data?
- Knowledge changes slowly: services, policies and FAQs. Your website and PDFs cover it. See how to train a chatbot on your website and PDFs.
- Live data changes all the time: stock, open appointments, order status. The chatbot has to ask your system each time.
What is MCP?
MCP, the Model Context Protocol, is an open standard for connecting AI to tools and data. Think of a universal plug. Instead of building a special wire for every AI app, you build one MCP server that offers clear tools, such as check_stock or find_open_slots. The AI can only use the tools you offer, and only in the ways you allow.
What to connect first
Pick the question that costs your team the most time:
- Clinics and salons: open appointment times.
- Online stores: stock levels and order status.
- Service firms: job status and quote requests.
- Sales teams: saving a new lead to your CRM.
How to keep it safe
- Start read-only. Looking things up can’t damage your data.
- Give each tool one small job. Never offer open access to a whole database.
- Check who is asking. Before showing an order, verify the customer, for example with a login or a code sent to their email.
- Keep approval for actions. Bookings, refunds and messages should wait for a person to confirm.
- Log everything. Record what was used and when, and keep personal data out of the logs.
- Keep secrets on the server. System keys never belong in your web page.
MCP or a simple API?
For one lookup in one chatbot, a direct API call can be simpler. MCP becomes useful with several tools, or when you want the same tools in your website chatbot and in assistants such as Claude. If you want AI agents in the browser to use your website, that is a different thing: see WebMCP vs MCP.
Your next step
Start with a chatbot on your website and PDFs, then connect one system when you know what customers ask. See our AI chatbot service and MCP server development.
Frequently asked questions
What does MCP stand for?
MCP means Model Context Protocol. It is an open standard that lets AI applications connect to tools and data sources in a consistent way.
Do I need MCP, or is an API enough?
For one simple lookup, a direct API call is often enough. MCP helps when you have several tools, want to reuse them across AI apps, or want one clear place for permissions.
Can a chatbot change my data?
Only if you build that in. Start with read-only tools. For changes such as moving a booking, ask the customer to confirm and consider staff approval too.
Which systems can be connected?
Most systems with an API, such as booking tools, online stores, CRMs and databases. Some older systems have no API, so they need a different approach.
