A new hire signs the offer, and then a dozen small tasks start. Someone creates an email account. Someone else adds them to Slack. HR emails forms and chases them. IT orders a laptop. The manager forgets to book the first-week meetings. Every step lives in a different person's head.

When onboarding is manual, things slip. New starters arrive without a working login, sit through a slow first week, and ask the same questions everyone before them asked. Access is granted inconsistently, which is a security risk. And your HR and IT people repeat the same admin for every hire.

What this automation does

Employee onboarding automation turns a signed offer into a ready first day. It runs the admin steps in the right order and keeps everyone informed. A typical setup covers:

  • Accounts in Google Workspace or Microsoft 365, Slack or Teams, and other tools, based on the role.
  • Documents sent for signature and collected, such as contracts, tax forms and policy acknowledgements.
  • Equipment requested from IT or a supplier, with delivery tracked against the start date.
  • A checklist for the new hire, the manager, HR and IT, with reminders when tasks are overdue.
  • A day-one schedule with welcome meetings booked in calendars.
  • An AI onboarding assistant that answers new-hire questions from your handbook.

Where AI fits, and where it does not

Most of onboarding is plain workflow automation. Creating accounts, sending forms and booking meetings follow fixed rules, so they do not need AI at all. That is a good thing, because rule-based steps are predictable and easy to audit.

AI earns its place in two areas. The first is answering open questions from new hires, which saves HR and managers repeated interruptions. The second is reading free-text inputs, such as a manager's note about special equipment, and turning them into structured requests.

How it works, step by step

  1. Trigger on the signed offer. The workflow starts when your HR system or e-signature tool marks the offer as signed. A simple HR form works too.
  2. Pick the role template. The job title and department select a template. It lists the accounts, groups, channels, documents and equipment for that role.
  3. Ask for approval. The hiring manager or IT lead gets a summary of the access to be granted. They approve or adjust it with one click.
  4. Create accounts. The workflow creates the user in Google Workspace or Microsoft 365, assigns the licence, and adds groups and channels. Accounts can stay suspended until the start date.
  5. Send documents. Contracts and forms go out for signature. Completed files are saved to the right folder, and missing ones trigger polite reminders.
  6. Request equipment. A ticket or order is raised with the right specification and delivery address, and its status is tracked.
  7. Build the first week. Welcome meetings with the manager, a buddy and key colleagues are booked. The new hire receives a welcome email with the plan.
  8. Answer questions. From day one, the new hire can ask the onboarding assistant in Slack or Teams. Answers come from your handbook, with links to the source.
  9. Report progress. HR sees a simple status for each new starter. Overdue items are flagged before the start date, not after.

Tools we use

  • Self-hosted n8n to orchestrate the steps and keep a log of every action.
  • Your existing systems: HR software, Google Workspace or Microsoft 365, Slack or Teams, e-signature, and IT ticketing.
  • An LLM for the onboarding assistant: OpenAI, Anthropic Claude, or a private open-source model if your policies are confidential.
  • Retrieval over your documents, so the assistant answers only from your handbook and policies.

Check each vendor's current pricing and admin API documentation, as both change over time.

What you need to get started

  • Your current onboarding checklist, even if it is informal or out of date.
  • A list of roles and the access each one needs. We can help you draft this.
  • Admin access, or an admin who can authorise API access, for each system.
  • Your employee handbook and key policies in their current versions.
  • A named owner in HR who decides what the assistant may and may not answer.

Typical scope and timeline

As an estimate, a first version usually takes 1 to 3 weeks of work. Account creation, documents and a checklist for one or two role templates sit at the short end. Several HR and IT systems, equipment ordering and the AI assistant push towards the longer end.

Many companies start with accounts and the checklist, then add the assistant once the handbook is tidied up. Offboarding is a natural second phase, because it uses the same templates in reverse.

Risks and how we handle them

Wrong answers from the assistant

An onboarding assistant must not make up a policy. It answers only from approved documents and shows the source for each answer. When the documents do not cover a question, it says so and passes the question to HR. Questions about pay, contracts or personal circumstances go straight to a person. Access and privacy

New-hire data includes personal and sometimes sensitive details. We keep it in your systems, pass only what each step needs, and avoid storing it in logs. Access is granted from role templates after human approval, never from free text. Every account change is recorded, which helps audits.

Failures part way through

If an API call fails, the workflow retries and then alerts IT with the exact step that failed. Each step is designed to be safe to repeat, so a rerun does not create duplicate accounts. The status view shows what is done and what is waiting.

When not to build this

  • You hire a few people a year. A good written checklist may be all you need.
  • Your HR platform already covers it. Many HR systems include onboarding checklists and some account provisioning. Use what you already pay for, and automate only the gaps.
  • Roles and access are not defined. Automating unclear access rules just grants the wrong access faster. Agree the role templates first.
  • The handbook is out of date. An assistant that answers from old policies does more harm than good. Update the documents before switching it on.

Frequently asked questions

What parts of employee onboarding can be automated?

Most of the administrative steps: creating email and chat accounts, adding people to groups and channels, sending and collecting documents, requesting equipment, assigning a checklist, booking day-one meetings and sending reminders. Conversations with the manager and team are the part that should stay human.

Can onboarding automation create Google Workspace or Microsoft 365 accounts?

Yes. Both platforms have admin APIs that can create users, set licences and add group memberships. We use role templates so a new salesperson gets the sales groups and a new engineer gets the engineering ones. Check the admin permissions and licence rules in each vendor's current documentation.

What does an AI onboarding assistant do?

It answers new-hire questions such as how to book leave, how expenses work or who to ask about equipment, using only your handbook and policy documents. Each answer links to the source. Questions it cannot answer from the documents are passed to HR or the manager.

Does onboarding automation work with our HR system?

Usually, if the HR system has an API or can send a notification when an offer is signed or a start date is set. Where it cannot, a simple form completed by HR can start the workflow instead.

Is it safe to automate access for new employees?

It is safer than ad hoc manual setup, provided access is based on role templates, a person approves the request before accounts are created, and every change is logged. The same workflow can run in reverse for offboarding, which closes a common security gap.

Can the same automation handle offboarding?

Yes. Offboarding is a natural second phase because it uses the same role templates in reverse: removing accounts and group access, collecting equipment and closing out documents. As with onboarding, a person should approve the request before access is changed, and every step should be logged so you can show what was removed and when.
